We are currently seeking a highly organized and detail-oriented Administrative Assistant cum Receptionist to join our team and support our daily office procedures.
Responsibilities:
As an Administrative Assistant, you will be responsible for the following tasks:
- Provide administrative support to the property management team, including scheduling appointments, maintaining calendars, and organizing meetings.
- Act as the first point of contact for clients, addressing their inquiries and concerns in a professional and timely manner.
- Assist in the preparation and distribution of service-related documents, such as agreements, notices, and any other relevant requests.
- Maintain accurate and up-to-date records of service-related information, including client details, Client's travel plans, relocation post-landing requests, and financial reports.
- Coordinate with UK office post landing staff and vendors to schedule post-landing services and ensure timely completion of work orders.
- Assist with accounts payable and receivable processes, including invoice processing, fee collection, and deposit tracking.
- Support marketing efforts by updating website content, and managing social media accounts (This is not mandatory yet preferred.
- Maintain office supplies inventory and order necessary items as needed.
- Perform general clerical duties, such as filing, photocopying, scanning, and data entry.
- Attend and participate in team meetings, training sessions, and other company events as required.
Requirements:
- High school diploma or equivalent; additional qualifications in business administration or a related field are a plus.
- A minimum of 2 years of experience in an administrative or support role, preferably within the property management or real estate industry.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Exceptional customer service skills, with a professional and courteous demeanor.
- Ability to work independently as well as collaboratively within a team environment.
- Knowledge of CRM software, such as Zoho CRM, and Salesforce is a plus.
Job Type: Full-time
Salary: AED3,000.00 - AED4,000.00 per month
